New Prospects
If you are creating new campaigns with prospects that you have not previously added to a campaign, then you simply need to choose the new market when creating the campaign:
Existing Prospects and Leads
Existing prospects who were previously attempted from an older market and either did not reply or were skipped
Step 1: Existing campaigns to the new market
When you open your Campaigns page and click the 3-dot menu button to the right of a Campaign and click “Edit”, you'll notice that the option to update the market is grayed out.
This means that it is not possible to update existing Campaigns markets. With that said, we advise you to finish them as they are and make sure that the follow-ups are already on the new market, as we will explain in the next step.
Step 2a: Create follow-up campaigns for prospects who did not reply
To create a follow-up campaign for prospects who have not previously responded to a received message, ensure the following settings are chosen when creating the follow-up:
Retain Initial Outgoing Numbers = “No”
“No - only include the prospects that haven’t replied”
Step 2b: Create follow-up campaigns for skips
To create a follow-up campaign for prospects who were skipped, ensure the following settings are chosen when creating the follow-up:
Retain Initial Outgoing Numbers = “No”
Skip Reason = “Any”
Step 3: Send out follow-up campaigns
Work through sending out these campaigns which will assign the prospect a number from the new market.
Existing leads who were previously messaged from an older market and did reply
Please conclude these conversations before deactivating the market, as they won't migrate to the new one.
Deactivating a Market
The first step will be to "Release" the market. When you choose to release the market, the numbers will be deactivated for 2 weeks. This means the numbers in that market can still receive messages from leads (until the numbers are released), but new conversations will not be initiated on those numbers.
Go to Account Settings -> Account Info & Settings and locate the desired market. Click the 3-dot menu button and then click "Release market":
The system will tell you the date when the numbers will be released. You have until this date to either conclude lead conversations or, on that date, you should send out your follow-up campaigns with messages of re-introduction.
*The simplest method is to conclude conversations.
Deactivating the Market - Legacy Twilio markets
First, follow the steps in the next section "Creating Follow-Up Campaigns for Messages of Re-Introduction" so you are ready to send messages when the numbers are released.
To release Twilio numbers:
- access your Twilio account and release the numbers from there
- go back into your Lead Sherpa and access the Number Manager tab
- click the Twilio Numbers tab and hit "Sync Twilio Updates" in the upper right corner
This action will sync the release of the Twilio numbers, and they will also be released from your Lead Sherpa account. At this point, you should send out your follow-up campaigns with messages of re-introduction.
*If you no longer have access to your Twilio account, please contact support@leadsherpa.com for assistance.
Creating Follow-Up Campaigns for Messages of Re-Introduction
Step 1: Create a category of templates containing messages of re-introduction
Create a template category with at least 5 unique templates that introduce your new phone number to the lead.
- For example, “Hello, it’s Sarah from iBuyHouses. We’ve been discussing your property at {StreetAddress}. This is my new number, my old number is no longer in service.”
Step 2: Re-assign the existing campaigns to the new market
If the desired campaigns have not yet been re-assigned to the new market, do so by following the instructions in Existing Prospects and Leads -> Step 1: Re-assign the existing campaigns to the new market.
Step 3: Create follow-up campaigns for leads who replied
To create a follow-up campaign for leads who have previously responded to a received message, ensure the following settings are chosen when creating the follow-up:
Retain Initial Outgoing Numbers = “No”
“Yes - only include the prospects that have replied”
Step 4: Send out campaigns when the numbers are released
Once the numbers are released, work through sending out these follow-up campaigns. This will assign the conversation a number from the new market and ensure that you continue to receive responses from these leads.
